The Process Of Planning An Event


Planning and creating an event is not a cake walk. It requires meticulous planning and an eye for detail to churn out a successful event. Event management is a broad aspect and involves something as basic as a small-scale birthday party to an award hosting event. Some companies specialise in certain types of events. There has been a rise in corporate event management services considering the number of companies that host events or sponsor them. The process of planning an event from beginning to the end can be divided into 5 Cs – Concept, Coordination, Control, Culmination, and Closeout.
Concept:
The concept of the event lays the foundation of the entire event. The purpose (why) has to be strong and defined. Since Day 1, it should be clear as to what the event has to achieve. The other details like what, when, where and how should also be laid down during the concept stage.
Coordination:
This is where one needs to plan. The theme, the budget, timelines, venues, equipments, and everything else needs to thought of. These details determine the experience of the attendees.
Control:
During the control stage, your planned details start becoming a reality and you have keep a check whether everything is going as planned. Vendor disputes and delays have to be tackled.
Culmination:
This is the on-day work where crowd control, security, and on-ground team has to put in their best to make the event, a memorable one.
Control:
When the event is done and the client has the outcome, it is important to evaluate. Reviews, reports, and other post event activities are equally important.
